Announcing the Manual Budget Journal Entry Guide
Managing budgets across our multi-funded financial landscape is foundational to achieving NC State’s strategic planning vision. To help colleges and divisions navigate this process, we are pleased to announce the release of the new Manual Budget Journal Entry Guide.
This comprehensive resource serves as a standardized learning tool and operational roadmap, detailing how to accurately create, submit and approve manual budget entries within the Financial System.
What’s Inside the New Guide?
Designed with instructional clarity in mind, the guide breaks down complex Financial System workflows into actionable, step-by-step processes:
- A detailed definitions matrix covering essential Chartfield elements (SpeedTypes, Scenario Codes, Ledgers, etc.) to ensure baseline system literacy.
- Clear rules on when to deploy the three online journal classes (BUDGETJRNL, TRANSBUDG and TRUSTBUDG) depending on your funding source (State, F&A, ETF or Trust).
- Guidance on how the Obligation Tracking Module acts as a planning tool alongside formal budget journals.
- Information on the necessary System Access Request security roles required for budget initiation and approval.
- Instructions on creating, submitting, verifying, copying, reversing or deleting budget journals.
If you have specific procedural questions or require further assistance not covered within the resources and tutorials, please reach out directly to the University Budget Office.
