The University Controller’s Office held its monthly Business Connections meeting on October 10.

Discussion Topics

University Controller’s Office Updates

  • The University Controller’s Office Payables Manager provided details regarding the recertification process for Mobile Communication Devices (MCD) and allowances.
  • Accounts Payable also launched a series of new queries and reports, including notifications and voucher late payments by month and by year.
  • Payroll introduced Sprintax Calculus, a tax determination software used to manage the campus’s international visitor’s tax positions. This software helps our international visitors determine their residency status for tax purposes and their entitlement to tax treaty benefits, ensuring they are taxed correctly.

University Budget Office

  • The University Budget Office announced the Office of State Budget and Management (OSBM) and the University of North Carolina Systems Office (UNCSO) are currently identifying a new program code for all universities to specifically track expenses associated with the impact of Hurricane Helene. The University Budget Office urges departments to establish an internal process now to identify expenses related to the hurricane in anticipation of the UNCSO guidance, as there may be a short deadline for assessing the financial impact by UNCSO and OSBM.
  • The Budget Office also provided information on the upcoming new requirements for abolishing vacant positions. Currently, limited information is available; however, the new requirements will take effect on January 1, 2025. The new requirements state only permanent SHRA and EHRA positions meeting the following criteria may be kept: position is currently filled, position has been vacant for less than 12 months and position is under active recruitment. All other positions will be abolished. More information is forthcoming.

Procurement and Business Services

Procurement and Business Services highlighted staff changes, upcoming annual procurement meeting, the updated Procurement Dashboard, the 13th Annual MarketPlace Expo, upcoming surplus sales events, contacting the Materials Support Warehouse to pick up surplus items and information on internal sales: what is available and when to shop.

If you are interested in using AI tools, review the approved list of AI tools available for campus, and contact IT Purchase Compliance (ITPC) to learn more about the process for reviewing requests.
