Controller’s Office Updates
Frances Lawrence from the University Controller’s Office provided the following updates:
- Year-end close-out calendar will be released in early March with FY 2025 deadlines.
- The 2024 State Audit Report is on the Controller’s website and the Annual Financial Report is being finalized.
- The incoming EFT form has been updated for the new State Treasurer’s name on the Controller’s website > Forms.
- There is an increase in phishing email attempts; stay vigilant.
- Updates on the Finance Professional I Certification and departmental account code training were shared.

Procurement and Business Services Updates
- Chanelle Corpening provided a recap of the MarketPlace Expo and provided information on foreign supplier customs clearance, encumbrance report access and reminded attendees about the process for requisitions under $29k.
- Megan Catt provided information on how to support suppliers and announced that the Supplier Information 101 course is open for registration.
- PCard Training for Cardholders will enter a new refresh training cycle.
- Dates for upcoming Public Surplus Sales and Internal Surplus sales were announced.
Accountants Payable (A/P) Updates
- Ruthie Fairbanks from the Controller’s Office shared updates on travel and mobile communication devices.
- A/P noted a change in the IRS mileage reimbursement rate.
- A new third-party lodging form is available on the Travel Center webpage.
- Upcoming travel updates include travel proxy setup, email notifications and travel advances.
- A/P also mentioned the January MCD pay cycle date, pending issue deadline and MCD query details.

Office of Enterprise Applications Services Updates
Yessy Mendoza-Tate from the Office of Enterprise Applications Services covered security and workflow, including department rollup and its role in department security and workflow setup.
Accounting Services and Asset Management Updates
Jonathan Ehlers from the University Controller’s Office discussed the FY24-25 Capital Asset Inventory Cycle and upcoming inventory certification deadlines. Spot checks will follow the certification process. For asset management questions, contact assetmanagement@ncsu.edu.
Heidi Kozlowski provided an update on PCI-DSS v 4.0 for FY 2025, noting that Campus Guard will hold Zoom workshops for SQAs A and SAQ P2PE. Final dates and times will be shared via the Merchant Services email list.
