The University Controller’s Office (UConO) is dedicated to supporting your professional development and operational success. We are excited to announce the launch of the Payroll Guide for Human Resource Representatives. This guide is the third and final installment in our payroll series, joining the Payroll Guide for Employees and the Payroll Guide for Foreign National Taxes.

Developed by the UConO Payroll Team, this guide serves as a comprehensive roadmap for navigating the critical intersection of HR actions and payroll processing.

Key Highlights

This guide is designed to be a practical, day-to-day reference, featuring:

  • Roles and Responsibilities: A clear breakdown of the duties assigned to HR Leads, HR Representatives, University Human Resources and the UConO Payroll Team.
  • Payroll Schedules and Lockouts: Vital information on biweekly and monthly payroll cycles, including “lockout” periods when system actions must be finalized.
  • Academic Year Appointments: Deep-dive guidance on EHRA 9-month contracts, deviated contracts and salary adjustment calculations.
  • Critical Workflows: Step-by-step instructions on requesting off-cycle paychecks and managing salary overpayments.
  • Best Practices: Strategies for timely communication and data entry to prevent payroll gaps and errors.

We encourage you to bookmark this guide and share it with your teams to foster a culture of financial and HR literacy across the university.

Updated Payroll Forms

Payroll forms have been updated and new ones have been added. With a fresh, on-brand look, our forms have been assigned a “Go Link” to make updates easier without interrupting campus access. Payroll forms can be accessed in the guide and through the Forms page.
